Terms of Service
Effective date: August 18, 2026
These Terms of Service apply to use of the Vantis website, application, and service.
1. Acceptance and scope
By accessing or using Vantis, you agree to use the service subject to these Terms. If you use Vantis for an organization, you are responsible for having authority to use the service and act for that organization as applicable.
2. Accounts and authorized use
Users and organizations are responsible for providing accurate account information, protecting their account and provider credentials, limiting access to authorized people, and using Vantis through the roles and permissions assigned to them. You are responsible for activity performed through your account to the extent it results from your authorized use or your failure to protect credentials under your control.
3. Organization data and content
Users and organizations are responsible for having the authority needed to enter, upload, process, or send customer, employee, business, photo, attachment, communication, and other content they place into or process through Vantis. Do not use Vantis to process information or content you are not authorized to handle.
4. Outbound communications
Vantis can send outbound email through an organization's configured Google, Microsoft, Yahoo, or Custom SMTP provider. The organization and its users are responsible for the recipients selected and the content and purpose of messages they cause Vantis to send.
Do not use Vantis or a connected email provider to send spam, unsolicited or abusive messaging, unlawful communications, deceptive content, or messages that violate applicable provider rules. Do not use Vantis to bypass provider anti-abuse controls, sending limits, consent requirements, or other restrictions.
5. Third-party services and integrations
Google, Microsoft, Yahoo, and customer-selected SMTP services are separate third-party services. Their availability, account requirements, consent screens, sending rules, terms, and privacy practices are controlled by those providers. Connecting a provider authorizes Vantis to use the connection only for the supported Vantis functionality described in the Privacy Policy.
6. Acceptable use
You must not use Vantis to:
- violate applicable law or knowingly facilitate unlawful activity;
- access accounts, tenants, systems, or data without authorization;
- circumvent or attempt to bypass authentication, tenant boundaries, roles, security controls, or provider restrictions;
- interfere maliciously with the service or introduce malware or harmful code;
- misuse credentials, OAuth access, SMTP credentials, or other connected-service access; or
- send spam, abusive messaging, or communications that violate the rules of a connected provider.
7. Service changes and availability
Vantis features, integrations, and operating requirements may change as the service develops. Vantis does not promise that the service or any third-party integration will always be uninterrupted, error-free, or available at a particular time, and these Terms do not create a service-level agreement.
8. Security, abuse, suspension, and access limits
Vantis may limit or suspend access where reasonably necessary to protect account or service security, respond to suspected abuse, preserve service integrity, comply with applicable legal requirements, or address conduct that materially violates these Terms.
9. Privacy
The Vantis Privacy Policy describes the information Vantis processes, connected-email data practices, security controls, provider disconnect behavior, and available data-management help.
10. Disclaimers
To the extent permitted by applicable law, Vantis is provided on an available basis without a promise of uninterrupted or error-free operation. Third-party provider availability and behavior are outside Vantis's direct control. Nothing in these Terms excludes rights or obligations that cannot lawfully be excluded.
11. Liability
Responsibility for loss, damage, or other claims arising from use of Vantis will be determined under applicable law and the facts of the matter. Nothing in these Terms limits responsibility where applicable law does not permit that responsibility to be limited.
12. Changes to these Terms
Vantis may update these Terms as the service changes. The effective date shown at the top of this page identifies the version presented here. Continued use after an updated version becomes effective is subject to the version then presented with the service.
